Executive Assistant to the Leadership Team
We are looking for an exceptionally organized and proactive Executive Assistant to the Leadership Team to support three key members of our executive team: the VP of Sales & Marketing, VP of Client Success, and Director of DTS. This role is essential in accelerating their productivity, managing critical communication, and keeping day-to-day operations running smoothly. You’ll be a trusted partner who anticipates needs, manages complex logistics, and ensures our leaders can focus on driving the business forward.
This position is ideal for someone who thrives in a fast-paced environment, loves solving problems, and is passionate about helping others succeed. You’ll be balancing the priorities of three high-performing leaders, supporting each with focus and care, while maintaining communication and transparency about shifting priorities. Experience managing multiple executives and competing demands will set you up for success in this vital role.
What you’ll do
Manage complex calendars, coordinate meetings across multiple time zones, and mitigate scheduling conflicts.
Anticipate needs and proactively identify and resolve potential issues before they arise.
Handle email management, inbox organization, and communication prioritization for supported executives.
Balance and communicate priorities across the three leaders you support, ensuring alignment, workload balance, and transparency about competing deadlines or shifting priorities.
Coordinate and schedule client calls, including for high-risk or escalated situations, and gather key information as needed.
Oversee office organization, including workspace management, supplies, and clerical operations.
Book and manage travel, meeting logistics, and act as the primary point of contact for anyone seeking time or information from supported leaders.
Support internal and external communications, ensuring professionalism and accuracy across all touchpoints.
Plan and execute internal and client-facing events with attention to detail and creativity.
Assist with presentation planning and preparation.
Pull reports and assist with data and spreadsheet management.
Provide hiring support, including scheduling interviews, reference checks, and candidate coordination to keep recruiting processes moving efficiently.
Assist with internal projects, some lasting weeks, others months or longer, to help move initiatives forward with precision and accountability.
Maintain confidentiality, professionalism, and reliability while working independently to solve problems and execute priorities.
Work seamlessly across multiple technology platforms with exceptional efficiency and accuracy.
Handle other responsibilities as may be required for administrative and executive assistant support.
